Hirer’s Guide

— Entering and exiting the Hall

  • Getting In: Use the code provided to open the keybox. The yale type key is for the main door and the other two keys for the kitchen. Please close the keybox whilst you are at the hall to ensure the interior of the box does not get wet.
  • At the end of your hire period: Unless you have requested and paid for cleaning as an extra to your booking, please leave the hall clean and tidy, lock all the doors and windows and return the keys to the keybox.

— General instructions

  • Turning on the Lights: The switch for the Entrance Lobby is just inside the door on the left. The lights for the Main Hall are on the right just inside the Hall.
  • Turning on the Heating: The heating is controlled by the booster switches which will turn the heating on for a set period of time. The booster switch for the main hall is in the corridor leading to the kitchen on the wall by the stairs. The booster switch for the bar area and the toilets is on the wall to the right of the bar.
  • Using the Ceiling Fans: The fan controller is located by the light switches in the Main Hall. The fans can be operated in either direction to circulate warm air back down (in winter) and to draw warm air up (in summer).
  • Tables and Chairs: These are available in the storage annex. There is a plan on the wall to show how they should be stored.
  • Cooking equipment: There are a range of pots and pans, cups and saucers, dish-cloths and tea-towels in the kitchen area. Please report any breakages to the bookings clerk.
  • Recycling and Refuse: There is a large Biffa Bin for non-recycling waste and green wheelie bins for recycling outside the hall by the bar fire doors. Please ensure all waste from your event is placed in the correct bins.
  • Audio-Visual Equipment: This equipment is available upon request when booking.

— Care for the Hall

  • Decorating the Hall: Please do not use Blu Tack or tape or any type of adhesive on the hall walls. There are hooks on the walls to hang decorations from.
  • The Floor: Please take great care not to damage the parquet flooring. Clean up any spills immediately to minimise the risk of staining. Please brush, vacuum or mop as appropriate all floors before you leave.
  • Toilets: Please do not allow your guests to flush sanitary products and nappies down the toilets. Please ensure the toilets are left in good condition at the end of your event.
  • Smoking: It is not permitted to smoke in the Hall. Please ensure that smokers attending your event use the external ash trays provided at the entrance to the Hall.
  • Noise: Please ensure that music is not loud after 11pm (please keep doors and windows closed after this time) and ceases by midnight. Please also ensure that people outside are not making excessive noise or causing a nuisance to our neighbours.

— Safety

  • Fire Precautions: Please ensure you and your group become familiar with the location of the fire exits, evacuation alarms and fire extinguishers. In the event of a fire, your priority should be to evacuate everyone from the building and summon the Emergency Services. Only use the fire extinguishers if the fire is small and you are confident in your abilities. Please keep the fire exits clear at all times. Please do not use candles in the hall without advance permission from the Bookings Clerk.
  • First Aid: There is a first aid box behind the bar. Please record any accidents in the accident book behind the bar.
  • Kitchen: Please do not let children enter the kitchen unsupervised.
  • The Stage: You may use the stage at your own risk. Please take care as a fall could result in serious injury. Do not allow children to play on the stage.
  • PE Equipment: The schools PE equipment is stored at the hall. Please do not use any of this equipment.

— Alcohol

If you plan to have alcohol at your event (regardless of whether it is from a bar or ‘bring your own’), you are responsible for ensuring that:

  1. You have permission from the Memorial Hall Committee (in writing if you are planning to sell it);
  2. No-one under the age of 18 consumes alcohol;
  3. Any person(s) becoming unruly or incapable is/are removed from the premises;
  4. Licensing laws are abided by fully;
  5. No nuisance or damage is caused to residents or their property.

Failure to comply with these conditions can result in immediate cancellation of your event without notice, refund or compensation.
